The Mission
Just like a thriving plant in a sunny meadow, veteran organizations need nutrient-rich soil (the financial foundation), healthy veins (the operations) and the growth to reach the skies (the mission).
Veteran organizations do life-changing work - hosting weddings, running fundraisers and building community. But beneath the surface, the finances can get tangled fast: gaming proceeds that need strict state reporting, vendor bills from community events to refreshments, and board meetings that demand reports they can trust.
That's why I'm proud to support my hometown's V.F.W. Post 1419. This post has given so much - to veterans, to families, and to me personally. My weekly bookkeeping work is how I give back.
The Challenge
Before I stepped in, the organization faced a few classic nonprofit challenges:
Vendors were reporting late payments, creating cash-flow stress and last-minute holds.
Community event bills needed consistent categorization so every dollar could be tracked and reported properly.
Other bills included sales tax, even though the organization is sales tax exempt.
NYS Bell Jar gaming reports (required for charitable gaming in New York) were time-consuming.
Director’s meeting reports were pieced together manually instead of flowing naturally from the books.
They were doing incredible work, but their financial “soil” was holding them back from growing even stronger.
What I Do Every Week
I show up with the same care I bring to every business—because these heroes deserve nothing less.
Here’s my weekly rhythm that keeps everything blooming:
Full bookkeeping – I record every transaction, catch errors and troubleshoot with QuickBooks, and keep the checkbook perfectly reconciled.
Manage A/P - I pay vendors promptly every week and keep the lights on.
NYS Bell Jar reporting – Accurate, timely submission of all charitable gaming proceeds so the organization stays 100% compliant with New York State regulations.
Director-ready reports – Clean financial statements delivered in time for every board meeting.
Proactive cash-flow guardrails – I flag upcoming bills early and set smart payment policies to reduce stress and protect their cash position.
It’s not flashy, but it's the steady day-to-day care that turns chaotic paperwork into a strong, nutrient-rich foundation.
